Schedule: Monday –Thursday 9am – 6pm; Friday 9am – 5pm (9/80)
Salary range: $90,000.00 – $105,000.00
A member of the senior management team, the Facilities Director reports to the Chief Financial Officer (CFO) and is responsible for the planning, organizing, and managing of St. Anne’s physical plant and environmental services staff and functions including Facilities (main campus and remote sites), Housekeeping, Maintenance, and the AM Reception Desk. The Facilities Director creates a safe and inviting physical environment and implements processes that encourage self-directed work teams, applying motivational concepts to ensure the highest level of service and productivity possible. This position monitors physical surroundings, ensures deadlines are met, practices fiscal responsibility, and established a good rapport with staff, tenants, volunteers, customers, vendors, and the general public.
ESSENTIAL JOB DUTIES:
1. Oversee the daily operations of St. Anne’s physical plant, both on and offsite, and its various components, ensuring compliance with local, state, and federal policies, regulations, standards, and codes, including the Davis-Bacon Act, as applicable.
2. Ensure the safety and integrity of all sites, providing a sanitary and orderly environment while maintaining daily operations and managing improvement projects.
3. Refine and develop systems and procedures to standardize and enhance the efficient and safe operations of the physical plant for St. Anne’s, its tenants, customers, and clients.
4. Ensure that facilities management, safety, and supply chain, and related needs are met on a 24/7 basis, maintaining close communication with program departments (including Conference Center) and administration to ensure their needs are met.
5. Oversee Maintenance, Housekeeping, and contract vendors to effectively manage the flow of work and implementation of procedures among all departments and contractors; supervise said departments and contractors to ensure efficient operation and compliance with regulatory guidelines, accrediting organizations, and/or contracting bodies.
6. Manage and evaluate staff; interpret organizational and departmental policies, procedures, goals, and objectives to those supervised and ensure their implementation.
7. Facilitate contract and lease negotiations as directed by the Chief Financial Officer; solicit Requests for Proposals from vendors as necessary; review all related contracts for appropriateness of scope, fiscal impact, and timelines.
8. Serve as primary contact with landlords at St. Anne’s remote sites, ensuring necessary support for program operations at said locations from both landlords and department staff.
9. Responsible for preparing and monitoring department budgets, controlling costs internally and with contract vendors and suppliers while ensuring quality and desired results.
10. Prepare and present monthly reports for use by the Chief Financial Officer, Board, and/or executive management regarding organization-wide operational activities.
11. Serve on senior management team and collaborate with other team members to accomplish St. Anne’s long- and short-term goals and objectives; with Chief Financial Officer, generate constructive results from aligned participation on all major business, system, or strategy issues.
12. Advise and assist executive management in planning, implementing, and evaluating modifications to existing operations, systems, and procedures.
13. Chair the Safety Committee and collaborate with Human Resources department in managing the Workers Compensation program.
14. Maintain professional affiliations to enhance career development as well as St. Anne’s ability to stay abreast of current best practices and relevant information.
15. As a senior management representative to tenants, landlords, vendors, suppliers, customers, and the general public, interact in a manger that fosters increasing support for St. Anne’s.
16. Participate in the rotation of the Facilities On-Call phone, which includes managing after hour and weekend facility-related emergencies.
SECONDARY JOB DUTIES:
- Participate in mandatory trainings, in-services, and meetings.
- Participate in the Continuous Quality Improvement (PQI) of the agency.
- Other duties as assigned.
- A combination of strong administrative skills and hands-on experience; a background in construction management (bachelor’s degree preferred) with at least 10 years of managing a large facility (preferably a hospital or residential care); comprehensive knowledge of federal, state, building safety, and security guidelines.
- Bilingual Spanish preferred.
- Experience with the requirements and/or operations of the Americans with disabilities Act, Occupational Safety and Health Administration, Community Emergency Response Team, Computerized Maintenance Management Systems, Department of Health Services, Federal Emergency Management Agency, City of Los Angeles LADBS codes; licensed with California State License Board and certifications/credentials for Facilities Management Administrator, Material Safety Data Sheet, OSHA Compliance Training, and Preventative Maintenance Program.
- Trade skills: HVAC, boilers, chillers, cooling towers, computer room air handlers, plumbing, electrical, generators, uninterrupted power supply (UPS), elevators, fire protection, building monitoring/security systems, and computer/telephone systems.
