PROGRAM ASSISTANT *BONUS INCENTIVE*

Schedule: Monday – Thursday 9:00am – 6:00pm, Flex Friday 9:00am – 5:00pm
 

Pay Rate: $18.00/Hourly

Location: Main Campus
 
Family Based Program (FBS) offers both a Sign-On Incentive and a Retention Incentive that ranges between $750-$1500 based on annual salary/pay.

JOB SUMMARY

Provides administrative support to staff within the department.

ESSENTIAL JOB DUTIES:

  • Cover all St. Anne’s front desks, as needed.
  • Greet and direct families and guests at the reception desk.
  • Manage and direct incoming phone calls.
  • Update and maintain the Master Roster and contact lists for the programs in Family Based Services (FBS).
  • Maintain PQI and CSF reports monthly by collecting, reviewing, and submitting to the appropriate department.
  • Collect, organize, and file documentation for all programs in Family Based Services.
  • Create and discharge files in a timely manner, if applicable.
  • Provide psychiatric scheduling for our SPA 4 and 6 locations, as needed.
  • Maintain psychiatric appointment needs of SPA 6 program participants, including but not limited to submitting medication refills, and coordinating email correspondence between psychiatrist and wrap team members.
  • Deliver items such as flex fund purchases, documents, supplies to between SPA 4 and SPA 6, as needed.
  • Maintain facility and IT needs for FBS by utilizing the Maintenance and IT help desk/work order trackers for the department.
  • Maintain tracking system for family files.
  • Compile data for monthly, quarterly, and annual reports to ensure the department meets contract requirements.
  • Check charts quarterly for internal QA purposes, if applicable.
  • Coordinate donations with community agencies including Shelter Partnerships, Good Plus Foundation, Baby2Baby, and Adopt-A-Family.
  • Schedule and coordinate meetings as requested by the Program Director and staff.
  • Maintain regular, consistent, and timely attendance.
  • Maintain confidentiality as required by St. Anne’s, Licensing, HIPAA, and other regulatory agencies.
  • Follow state and agency laws regarding child abuse reporting.

SECONDARY JOB DUTIES

  • Participate in mandatory training, in-services, and meetings.
  • Serve as a backup representative for Safety Committee.
  • Participate in the Performance and Quality Improvement (PQI) of the agency.
  • Embodies and practices the tenets of our agency Justice, Diversity, Equity, and Inclusion (JDEI) initiative philosophies.
  • Other duties as assigned.

QUALIFICATIONS:

  • High school diploma or equivalent; associated degree in related field and/or work experience in child development or social service field preferred.
  • Excellent typing, transcription, grammar, spelling, punctuation and editing skills.
  • Experience in Microsoft Office, Internet, Excel.
  • Excellent verbal communication skills with clients, visitors, volunteers, and employees.
  • Ability to receive and implement constructive feedback.

  • The employee must occasionally lift and/or move up to 10 pounds.  Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Employee may occasionally be required to drive a motor vehicle.
